Job Title: Junior Operations Coordinator
Contract Duration: 8 weeks, 20 hours per week
Salary: $21.50/hr
Overview:
Afropolitan Canada is seeking a dedicated and detail-oriented Junior Operations Coordinator for an 8-week contract position. The successful candidate will lead the planning and execution of the inaugural bilingual "Harmony of Cultures: Beyond Black History Month" festival in Kitchener, Ontario, as well as coordinate video shoots for our Spotlight and Mental Health Awareness programs. The successful candidate will play a critical role in overseeing all aspects of the event coordination and operations to create a memorable experience for all attendees.
Responsibilities:
Event Planning and Coordination:
- Develop and execute a comprehensive event plan, including scheduling, budgeting and resource allocation.
- Coordinate with vendors, suppliers, and venue representatives to ensure timely and efficient delivery of services and materials.
- Manage event logistics, including venue setup, audiovisual requirements, and technical support.
Volunteer and Staff Management:
- Recruit, train, and coordinate volunteers for various festival activities.
- Provide guidance and support to volunteers and festival staff members.
- Monitor volunteer and staff schedules to ensure appropriate coverage throughout the event.
Administrative Support:
- Oversee administrative tasks, including budget tracking, expense reconciliation, and procurement of necessary supplies.
- Manage all vendor contracts and agreements, ensuring compliance with event requirements.
On-site Event Management:
- Ensure the smooth operation of all event activities, including setup, maintenance, and tear-down of event spaces.
- Coordinate with technical and AV teams to ensure proper setup and operation of equipment.
- Troubleshoot any on-site issues or emergencies and implement solutions in a timely manner.
Video Shoot Coordination and Management
- Coordinate with the Communications Coordinator and Videographer to schedule video shoots
- Arrange suitable locations for filming and secure any necessary permits and permissions.
- Coordinate with participating small businesses, the Spotlight Program Manager and Videographer to communicate video shoot details and ensure their effective representation.
- Manage the execution of the video shoots, including setup, crew management, and addressing any challenges.
Requirements:
- Minimum 2 years of experience in event planning and coordination, with a strong understanding of all aspects of event management.
- Fluency in both English and French (both written and verbal)
- Must have a valid driver's license and access to a car.
- Excellent organizational and time management skills.
- Strong problem-solving and decision-making abilities.
- Exceptional communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Proficient in Microsoft Office Suite and event management software.
- Knowledge of event safety and security protocols.
- A passion for cultural diversity, representation, and community engagement.
